Overview

The Marketing Operations Coordinator will facilitate cross-departmental communication, ensuring that marketing projects align with stakeholder expectations, from senior executives to specific stakeholder groups, such as Retail Banking, Brokerage and Insurance, Business Services, Lending, Financial Wellness and others. This role requires strong organizational skills, attention to detail, and the ability to juggle multiple priorities in a fast-paced environment.

Responsibilities

  • Serve as the primary point of contact for coordinating the activities and workflows of the marketing team, ensuring all projects and initiatives are progressing on schedule.         
  • Maintain an up-to-date project calendar using Monday.com or similar project management tools, providing visibility into timelines, deadlines, and key milestones for all stakeholders.    
  • Monitor a ticketing system to field new project requests and assign marketing personnel or set up stakeholder meetings as necessary
  • Facilitate regular check-ins with team members and department heads to ensure marketing communications are on track, addressing any potential delays or roadblocks proactively.          
  • Assist with vendor management, including tracking contracts, managing renewals, and coordinating with Legal and Purchasing teams to ensure compliance with internal processes.             
  • Manage the procurement process for marketing vendors, including obtaining quotes, negotiating terms, and processing invoices through Accounts Payable.            
  • Coordinate with marketing specialists to ensure they have compiled and/or distributed data reports in preparation for recurring meetings       
  • Support the development and execution of cross-functional projects that involve multiple stakeholder groups, ensuring alignment and communication across teams.            
  • Act as a liaison between the marketing team and key stakeholder groups and interests, such as Retail Banking, Brokerage & Insurance, Business Services, Lending, Financial Wellness, Payments, and Fraud Risk Management, facilitating smooth communication and collaboration.             
  • Organize and maintain digital records of contracts, vendor communications, and project documentation, ensuring easy access and retrieval by team members.              
  • Assist in the development and implementation of processes and best practices to enhance team efficiency and effectiveness in managing marketing touchpoints.      
  • Prepare and distribute meeting agendas, minutes, and follow-up action items, ensuring all participants are informed and accountable for their deliverables.         
  • Manage the scheduling and logistics for key marketing events, internal training sessions, and vendor meetings, coordinating with participants to ensure smooth execution.   
  • Support the onboarding of new team members by providing training on project management tools, internal processes, and vendor management protocols.           
  • Collaborate with team members to identify opportunities for process improvement and implement changes to optimize workflow and project execution.        
  • Monitor team workload and capacity, helping to allocate resources effectively to meet project demands and support team well-being.          
  • Assist with administrative tasks, such as travel arrangements, expense reports, and calendar management for senior marketing leaders, enabling them to focus on strategic priorities.         
  • Track and report on the status of marketing projects and initiatives, providing regular updates to senior management and other stakeholders.
  • Coordinate the submission of marketing assets for compliance review, ensuring all materials meet regulatory standards before deployment.
  • Support team members with “other duties as assigned,” enabling them to focus on their core responsibilities and areas of expertise.        
  • Maintain strong relationships with internal stakeholders, understanding their needs and expectations to provide tailored support and communication.
